Overview
Estimating storage capacity requirements, and therefore the cost of storage, does not need to be overly complex. As sizing is based on user behaviour, it is important to have a good understanding of how your employees currently use your communication platforms. If you are migrating to a cloud solution like Microsoft Teams, you may find user behaviour changes as the software enables users to collaborate more effectively.
User Behaviour
To generate the best possible calculations, the following measurements are helpful:
- Average hours of audio calls per user per day
- Average hours of video calls per user per day
- Average hours of screen share per user per day
- Number of files shared per day and average file size
For customers already using Microsoft Teams, Microsoft provides reporting in the Teams Admin Center.
Capture File Sizes
The information below applies to Multi-tenant environments. Customers with a Private-Tenant may have chosen different capture options that impact storage requirements. The figures provided below are averages and offer guidance on the generated file sizes.

☝ File Attachment Averages
Calculating file attachment storage is unpredictable, as it depends on the file sizes shared by end users. For example, if a user regularly shares video files, this average will not be accurate. The average is based on internal analysis of average file size and sharing statistics.
Based on the data-at-rest storage figures above, you can calculate the overall storage space requirements.
Multi-Tenant Germany
Luware Recording is 2N. This means the calculations above need to be doubled to account for the primary and secondary recordings of each captured conversation. This does not apply to chat and attachment recording, which are 1N.
