User and Extension Administration

This page explains the concept of users and extensions and where to find them.

Manage users and extensions in Luware Recording, including the user list, extension list, and synchronisation with Azure Entra ID.

Due to their related nature, the concepts of users and extensions are explained together on this page.

  • Users represent persons who can log in to the recording system. Users can belong to groups and have associated extensions.
  • Extensions are phone numbers or addresses configured with recording modes and user association. Extensions are linked to a user. Users can have multiple extensions.

✅ Access Requirements

You need to be logged in as a System Administrator or Supervisor to access user management.

 

The User and Extension lists can be found in Users > Administration.

User List

Navigate to Users > Administration > Users.

The user list is displayed along with associated information such as extensions, groups, and roles.

Filter User List

Search for users using the filter:

Open User Settings

Open a record by clicking any of the hyperlink objects in the list:

  • Display Name: view the user configuration
  • Extensions: view the extension configuration
  • Groups: view the group
  • Role: view the role

Extension List

Navigate to Users > Administration > Extensions.

The extension list is displayed along with associated information such as user name and modalities.

Filter Extension List

Search for extensions using the filters:

Open Extension Settings

Click on hyperlink objects in the list to open the record. Clickable objects are:

  • Extension: view the extension configuration
  • User Name: view the user configuration

Azure Entra ID Synchronisation

Luware Recording uses Azure Entra ID to synchronise users and extensions.

💡 Sync Schedule

The Luware Azure Entra ID Sync takes place every night at 02:00 GMT (UK).

 

For synchronisation to be possible, security groups must be created for each of the three user roles.

✅ Group Membership

Ensure that users are added to the correct groups before attempting Azure Entra ID synchronisation.

 

Users can be members of more than one group. For example, a Supervisor is by default not recorded. If a user needs Supervisor rights but also needs to be recorded, that user must be part of both the Recorded Users group and the Supervisor group. See User Roles and Groups.

Some organisations may have bespoke configuration or rights that differ from the default offering. Engage with Luware support if you wish to discuss this further.

☝ Design Limitations

The Azure Entra ID Synchronisation has the following limitations:

  • Organisational Units are not available.
  • Users can only be searched by a graph filter query parameter.
  • Manager and Direct Reports are not available.
  • Security Group Hierarchy synchronisation is not available; direct group membership is synchronised instead.
  • Connection test is not available.
  • Group names are not calculated from OU; instead, a property is used as the name.
