Retention Periods and Automatic Deletion

Every recorded call in Luware Recording is assigned a retention period when it is transferred to storage. That period controls how long the call is protected from deletion and when it becomes eligible for automatic removal.

How Retention Is Applied

Retention is calculated at the point the call is processed and uploaded to storage. The configured retention period is applied to the call and sets the exact date until which it is protected.

While a call is within its retention period, it cannot be deleted by users, and it remains fully searchable and accessible in Luware Recording.

Example

  • Call recorded on 1 January 2022
  • Retention period set to 365 days

The call is protected until 1 January 2023. During this time it cannot be deleted and remains available in the application.

How to Check a Call's Retention

Locate the call in the web application using Search.

Open the call details view.

Review the Retention information in the call metadata.

The retention date shown is the date until which the call is protected from deletion.

Changing the Retention Period

Retention settings can be changed via a formal change request through Luware. There are a few things to keep in mind about how changes take effect.

  • The new retention period applies only to calls recorded after the change is made.
  • Calls recorded before the change keep their original retention period.
  • Once retention has been assigned to a call, it cannot be modified.

Deletion and Retention

Standard deletion is blocked for any call that is still within its retention period. If a call needs to be deleted before the retention period expires, this must go through a configured deletion workflow and requires approval from an authorized user.
