UI Profiles

UI Profiles let administrators control which pages appear in the User Portal (main menu) for each user, and which page opens by default after successful login. Each profile defines a set of visible pages and can optionally set a custom icon, a custom tooltip, and a default landing page.

đź’ˇ Good to know

UI Profiles are a visual customization. They do not restrict navigation. Pages hidden by a profile remain reachable via direct links and contextual actions, e.g. opening pages in a new tab, when the page was actually removed from the profile. User Access is always governed by Portal Roles and licenses, never by the UI Profile.

If no profile is assigned, the user sees all pages available to them based on their permissions.

 

Creating a UI Profile

  1. Navigate to Admin Portal > Configuration > UI Profiles.
  2. Click Create UI Profile.
  3. Select the Organization Unit the profile belongs to. This determines which users the profile is available to.
  4. Define Visible pages that should be visible for users with this profile.
  5. Optionally:
    1. Upload a custom icon and/or 
    2. Enter a custom tooltip
    3. Select a Default page the portal should open after login. This must be one of the visible pages.
  6. Click Save.

Name Name as the UI Profile appears in the Nimbus UI (e.g. UI Profiles User Settings) and listings.
Organization Unit Organization Unit where this profile should be available

Description Description shown in the Profile listing (e.g. to help other Admins identify the purpose of this profile)
Surface Selection for where this profile applies.

Default Page

✅Requires at least one Entry to be added to “Visible Pages”. 

Defines the Default page1 shown to the user after signing in.

Visible Pages

Allows to define which pages visible to the user2 in the in the Nimbus Portal main menu. 


đź’ˇIn here you can:

  • Add (or remove) menu entries
  • Change the order of menu entries via drag and drop.
  • Override the Tooltip shown in the User's Main Menu with your own custom text. Note that this does not affect any widget details or page terminology once the user clicks on the menu.
  • Change the Icon to a custom one (256x256px max, larger uploads get rejected)

🔎Notes

  • UI Profiles control page-level visibility only — not features or buttons within a page.
  • 2 Hidden pages are removed from the menu but remain reachable via direct links and contextual actions.
  • New pages added to Nimbus will not automatically appear in existing profiles. Administrators must update profiles to include them.
  • 1 The default landing page only triggers on generic entry paths — for example when a user opens the portal at its root after login. Deep-linked URLs are respected and not redirected.
  • If a profile cannot be loaded, the portal safely falls back to showing all available pages, so a user is never locked out.

  • Requires a UI Profile to be created via Admin Portal > Configuration > UI Profiles.  
    💡You can directly create a new profile by clicking “Add”.

Assigning a UI Profile to a User

  1. Navigate to Admin Portal > User Administration
  2. Select a user and open their configuration.
  3. Go to the UI Profiles Tab.
  4. In the UI Profiles section, select a UI Profile from the dropdown.
  5. Click Save.
    ⮑ The profile takes effect the next time the user logs in or refreshes the portal.

💡Good to know: 

  • A user can have only one UI Profile assigned at a time.
  • Profile changes take effect on the user's next login or page refresh, not mid-session.
  • To assign the same profile to many users at once, use Bulk Editing by selecting multiple User's in the Administration list, instead of opening each user individually.
  • If no profile is assigned,  the user sees all pages (default behavior as per highest assigned Portal Role on the user).
